In the hustle and bustle of running a business, it is easy to misplace where your time is best spent. Often, entrepreneurs fill their days with low-impact tasks that feel urgent but don't directly contribute to revenue growth. This is a prime indicator that it's time to consider outsourcing. Delegating these non-revenue-generating activities allows you to refocus your energy on strategic tasks that drive your business forward.

As Amy emphasizes, recognizing when you're overburdened is crucial. If you're maxing out your capacity and still falling short of your revenue goals, outsourcing becomes an indispensable tool. It acts as a lever, propelling you towards greater efficiency and growth without necessitating an increase in work hours.

Scaling doesn’t always mean expanding to a large team. It’s about increasing your revenue and impact while maintaining or reducing the effort and resources you put in. Solopreneurs can scale by streamlining processes through systems and automations. Ensuring tasks such as client onboarding and offboarding are automated can significantly reduce manual workload, allowing you more time to focus on scaling strategies.

Additionally, transitioning your offerings from one-on-one services to group programs, courses, or digital products can vastly improve your ability to serve more clients. Outsourcing doesn’t mean you have to hire a full-time team member immediately. You can start with a freelancer or a part-time VA (virtual assistant) for just a few hours each week. Even this small commitment can yield significant benefits, enabling you to generate more revenue by dedicating your efforts where they matter most.


Utilizing Metrics to Guide Your Outsourcing Decisions

Using concrete data to make informed outsourcing decisions ensures you’re investing in the right areas. A thorough time audit can reveal how much of your work time is consumed by admin tasks versus revenue-producing activities. If over half of your time is spent on non-core tasks, it’s time to delegate.

Additionally, pay attention to your revenue relative to hours worked. If your workload keeps increasing without a corresponding rise in income, you've reached a growth ceiling that outsourcing can help you surpass. Other valuable metrics include conversion rates and client retention rates. Falling numbers in these areas may indicate you're stretched too thin.


Getting Started with Outsourcing

The key to successful outsourcing is starting small. Begin with tasks that drain you the most or have little ROI. Administrative duties like scheduling and email management should be the first to go. Embrace technology—utilize AI and automation tools to further reduce manual input and enhance efficiency.

Amy [00:00:03]:

Have you ever ended the day exhausted, feeling like you worked nonstop, but somehow it feels like you didn't accomplish anything? If you're constantly busy but not actually seeing growth in your business, you might be spending too much time on things that don't generate revenue. And that's a sign that you're ready to outsource.


Amy [00:00:42]:

Today we're diving into a topic that so many solopreneurs are struggling with right now. Outsourcing. How do you know when it's time? What should you start with? And does delegating actually mean you have to build a big team? Let's dive into it. So as solopreneurs, we're wearing all the hats, right? CEO, marketer, admin, tech support, customer service, you name it. And in the beginning, it's necessary. I get it. I've been there. But every minute you spend on low impact tasks is a minute you're not spending on revenue generating activities.


Amy [00:01:18]:

And that's keeping you stuck. You, you can't scale if you're doing everything yourself. But what does scaling actually mean for solopreneurs? Scaling doesn't have to mean building a big team. Scaling a business really just comes down to increasing your revenue and impact without an increase in effort, time or expenses. It's about growing your business in a way that's sustainable and efficient, allowing you to serve more clients, make more money and expand your reach. But without working 24, 7 and hiring, yes, that can be one way to scale. But you can also do it in a couple of different ways. You can leverage systems and automations.


Amy [00:02:04]:

When you streamline your processes, you can actually serve more clients with less manual work. This is really important when it comes to onboarding and offboarding clients. It also can be done by creating offers that shift from one on one services to group programs, courses, or even digital products. Or maybe it's improving client retention and lifetime value, making more money from each client by offering additional services or products. You're serving the people that are already in your world. And you can also scale by focusing on really high impact strategies. So using your data to double down on what actually working instead of trying to do everything. So yes, a solo preneur can absolutely scale without hiring a big team.


Amy [00:02:56]:

You have to know what you really want at the end of the day. And this is about working smarter, not harder. And that's where outsourcing comes in. So how do you know when you're actually ready? There's five clear signs I like to look look at when I'm working with a client and we're talking about starting to outsource. And the first sign is that you're spending too much on non revenue generating tasks. And I've done episodes in the past that really dive into what those IPAs are, those income producing activities. And I'll link up below in the show notes. But if you find your day is packed with like the nitty gritty, like admin work, managing emails, doing all the tech stuff on the back end instead of actually selling, serving or strategizing, you're stuck in the wrong role.


Amy [00:03:44]:

You're acting like an employee, not the CEO. Your time is valuable and if you're not spending it directly on revenue generating activities, it's a sign that it's time to delegate. It's time to outsource. Another sign is that you've hit that ceiling with your growth. You are maxed out. You cannot possibly take on more clients without working more hours. So if you feel like you're always running out of time, but you're not actually hitting your revenue goals and your capacities maxed out outsourcing will allow you to focus on scaling, whether that's launching a new offer, taking on more clients, developing that group program, or in increasing your visibility. Another sneaky sign with this.


Amy [00:04:27]:

This one pops up a lot. You're procrastinating or dreading certain tasks. We're all guilty of it, myself included. We all have those tasks that we put off because they drain us. But remember, there's someone out there who loves doing the things that you hate and they can actually do them better and faster. So hiring support for these tasks like bookkeeping, content creation, even graphic design can really free up your time and energy. Another sign is that you're making mistakes or missing opportunities. So if things are slipping through the cracks, like you forget to follow up, you're missing a deadline, you're sending invoices late.


Amy [00:05:11]:

That's a sign that you're spread too thin. And getting support actually will help you stay on top of things without the overwhelm and you really can afford it. Typically at the end of the day, it's not an all or nothing thing. You don't need to hire a full time team member. You can start small, maybe Even just a 1099 employee for a couple hours a week. You can outsource things like a VA again, a bookkeeper. But if you free up even a couple hours a week, like five hours, how much more revenue could you generate with that time? Probably a whole lot more than you'd pay for outsourcing. Now, before we go on, I have another clue for you leading up to the big reveal on February 21st to celebrate episode 400 of the podcast.

How can we actually leverage my favorite thing in the world? Metrics. What metrics can we look at to assess if it's a good time for you to start outsourcing? Now, your metrics, they give you that clear, data backed proof that it's time. So instead of relying on gut feelings, we're looking at your numbers because they're going to tell us exactly where your time and energy are getting drained. So here are some easy, simple places that you can look.


Amy [00:06:53]:

Look at your revenue versus hours worked. So if your income is plateaued but your workload keeps increasing, you've hit a ceiling for growth and it's a red flag that you need support. And again, I don't want you to judge yourself if you hit that. But it's just an opportunity right in front of you that hey, outsourcing may be worth the investment. Next, I want you to look at the time you're actually spending on those non revenue tasks. So this is where the time audit's really, really important. And we talked about this in last week's solo episode. You start by tracking your hours.


Amy [00:07:30]:

If you notice that more than 50% of your time spent on admin work instead of revenue generating activities, instead of forward facing client work, then it's really time to consider outsourcing. One of my other favorite metrics is look at your conversion rates. If your conversion rates are dropping because you're too busy to nurture leads, really be intentional and start getting some of those admin tasks that we just talked about off of your plate by freeing up your time, by freeing up your capacity for only those things that you do and you alone can do, that will give you more capacity to improve your conversion rates. Because now you have the time to nurture. Now look at your Retention rates. That's another awesome metric that will tell you if it's time to outsource. So if your client satisfaction seems to be going downhill or you're just not retaining as many clients, it could be a sign that you're getting in, that you're getting overwhelmed. And bringing in support can help you maintain quality and efficiency.


Amy [00:08:43]:

And this last one is my favorite. What is your time actually worth? What is your hourly rate? If you're spending hours on tasks, but those could be outsourced for a lower rate, you're actually losing money by not delegating. So really take the time to look at these metrics because there's signs that you're maxed out and it's time to delegate. So if you're nodding along with all of this and going, yeah, okay, Amy, I know I need to do this, but where do I start? Get those non essential tasks off your plate. Start with admin work. You know, scheduling, invoicing, inbox management. There are so many awesome systems, automations, ways to delegate. There's so much coming out right now too with AI.


Amy [00:09:34]:

Like you can build your own AI assistant, you can build workflows on the backend that really make it seem like you're the one doing everything. But it's very hands off. And a fellow entrepreneur, one of my friends, Jordan Gill at System Save Me, she is a genius at that. So get into her world because she will show you things on the back end with tech that will absolutely blow your mind. So get into her world. Another thing that you can start with is content creation. So if content creation is draining you, I want you to step back and actually assess the ROI of the content that you're putting out. Again, this is where metrics come in.


Amy [00:10:16]:

They're so important because now we can look and see what's actually resonating with our target client and we can repurpose that again. We can use AI to repurpose it and then also start outsourcing life. You know, we always think that outsourcing requires us to outsource things within our business. What if you bought back your time with something as simple as grocery pickup or grocery delivery? Because think about it, every time you have to go to the store, you've got to make the list. You've got to drive to the store, go through the aisles, stand on the checkout line, pay for your stuff, get back to the car, load it in, get home, unpack. I mean, it's like an hour, hour and a half process, right? So by scheduling pickup or better yet, delivery. Now you've literally just bought back time. Time that you can be investing in your business into those income producing activities.


Amy [00:11:18]:

So what is the biggest mistake that solopreneurs are making when it comes to outsourcing? And I really think that it's waiting too long to outsource. Thinking that you have to do it all will keep you in the weeds. It will keep you stuck instead of leading your business. So I challenge you. Look at your to do list at the end of the day, what was really draining to you? What was keeping you from focusing on growth? And what's one small thing that you could delegate or automate, even if it's just for a couple hours a week? Because remember, time is one of your most valuable assets and the sooner you stop doing everything, the sooner your business can scale without the burnout. I am here cheering for you.
